Scope of These Terms
These Terms and Conditions apply whenever you engage with Haven Trails Adventures, whether:
- You book a tour directly through our official channels.
- You book through authorized partners, agents, or representatives.
- You book via online platforms affiliated with Haven Trails Adventures.
By completing a booking, you acknowledge and agree to these terms, which outline the services provided and the responsibilities of both parties.

Privacy and Personal Information
To ensure smooth travel arrangements, we may request personal information, such as your full name, age, passport details, medical conditions, and dietary preferences. This information will only be used to:
- Arrange park permits, accommodations, and transportation.
- Ensure dietary or medical requirements are met during your trip.
Your information will remain confidential and only shared with service providers directly involved in your journey.

Booking and Payments
Your booking process includes:
- Contacting our travel consultant to discuss your itinerary and requirements.
- A dedicated consultant guiding you through arrangements and logistics.
- A 30% deposit to confirm your booking.
- Full payment is generally due at least two weeks before departure, unless otherwise agreed.
- Payment options include:
- Online transfer or credit card (3.5% surcharge applies for credit cards)
- Cash payment upon arrival at the airport in Tanzania
- All transaction fees are the responsibility of the client.
Bookings for Minors
Clients must be 18 years or older to book directly. For minors, bookings should be made by a parent or guardian who agrees to these Terms. Minors must be supervised throughout the trip, as childcare services are not provided.
Group Bookings
If you are booking for a group, the organizer is responsible for:
- Ensuring all participants are aware of and accept these Terms.
- Managing payments, communications, and itinerary updates.
- Providing accurate personal information for all travelers.
Individual bookings are recommended if you cannot assume these responsibilities.
Pricing and Changes
Prices are confirmed at the time of booking. Changes may occur only due to government fee adjustments or unforeseen circumstances. In such cases, we will communicate promptly and provide options for you to either accept the adjustment or reschedule your trip.
Itinerary Adjustments
- Client-Initiated: Changes without additional cost are accommodated; extra costs are the client’s responsibility.
- Company-Initiated: Occasionally, events like weather or park closures may require modifications. Suitable alternatives will be provided.
- Beyond Our Control: Delays or disruptions caused by external factors or force majeure events are beyond our responsibility.
Cancellations
By the Client: Cancellations may incur fees depending on timing and external providers’ policies. We encourage flexibility and offer support for rescheduling where possible.
By Haven Trails Adventures: In rare circumstances requiring cancellation, all payments made will be fully refunded.
Travel Documents and Visa
- Passports must be valid for at least six months with at least two blank pages.
- Visa requirements must be met; apply via the official Tanzania Immigration website.
- We are not responsible for denied entry; no refunds can be issued in such cases.
Accommodation
Group tours include shared accommodations; private options are available for an additional fee. Kilimanjaro climbs include shared tents, with private tents available upon request.
Health, Fitness, and Special Needs
- Clients must assess their fitness for safaris and treks.
- Medical clearance may be requested for pre-existing conditions.
- Dietary or other special requirements should be communicated at least 30 days prior to travel.
Travel Insurance
Travel insurance is required and should cover medical emergencies, evacuation, trip cancellations, and high-altitude trekking for Kilimanjaro climbers.
Vaccinations
We provide general guidance on vaccinations, but clients should consult a licensed physician for personalized advice.
Guides’ Authority
All clients are expected to follow safety instructions provided by guides. The chief guide has final authority on matters related to safety and expedition management.
Adventure Travel Risks
Clients acknowledge that safaris and treks involve inherent risks, including remote travel and high-altitude activities. By participating, clients accept responsibility for their own safety and wellbeing.
